Sharing Options in Looker Studio

Looker Studio has several sharing modes designed for different audiences — internal teams, clients who don't have Google accounts, and website visitors who should see an embedded dashboard. Choosing the right sharing method prevents both access issues and accidental data exposure.

Sharing With Specific People

Like Google Docs, you can share with specific email addresses and set permission levels:

  • Viewer: Can see and interact with the report (change date ranges, use filters) but cannot edit
  • Editor: Can modify charts, add pages, and change data sources

For client reporting, share as Viewer. Only give Editor access to team members who should be modifying the report structure.

Link Sharing (No Sign-In Required)

Generate a shareable link set to "Anyone with the link can view." The viewer does not need a Google account. This works well for client reports where the client doesn't use Google Workspace, or for sharing with stakeholders who just need to check numbers without logging in.

Important: Anyone with the link can see all data in the report. Do not use link sharing for reports containing sensitive customer data.

Embedding Reports

Looker Studio reports can be embedded in websites using an iframe. From the Share menu, select "Embed report" — Looker Studio generates an embed code you paste into your site or client portal. Set appropriate viewer permissions before embedding.

Scheduling Email Deliveries

Schedule automatic PDF or PNG snapshots of the report delivered by email. From the Share menu, select "Schedule email delivery." Set the frequency (daily, weekly, monthly), the recipients, and the pages to include. This is useful for stakeholders who need regular updates without logging in.

Data Source Credentials

When you share a report, data source credentials are either owner's credentials (viewers see data from your Google account access) or viewer's credentials (each viewer authenticates with their own account). For client reports where you want clients to see only their own property's data, use viewer credentials with the client's own GA4 or Ads access.
